1. Information We Collect

  • Account data: name, email address, and billing information.
  • Uploaded files: the documents you submit for conversion (they may contain your business data such as product names, codes, and prices).
  • Usage data: files processed, feature usage, and IP addresses.

2. How We Use Your Data

We use your data solely to provide the Service, process payments, and communicate with you about your account. We do not sell your personal data. Uploaded files are used only to produce your extraction output and to improve the reading of your own recurring documents (vendor memory); they are not shared with other customers.

3. Third-Party Processors

To provide the Service we share necessary data with trusted processors: payment providers (Paddle; Stripe for purchases on formfillpilot.com), AI processing partners (e.g. Google), and our hosting provider. These processors are bound by data-protection agreements. A current list is available on request.

4. Data Security and Retention

We use industry-standard measures to protect your data in transit and at rest.

Files you upload are deleted after 30 days. A file read for a free preview without an account is deleted sooner, after 7 days. The finished files of a conversion are deleted 30 days after delivery, and the copy of a result sent to your store plugin is deleted after 30 days.

If you leave your email on the convert page, we use it to send you the link to your file and at most one reminder; it is kept 12 months unless you ask us to delete it.

The record of each job (the file name, the date and the table read from the file) is kept so your history keeps working. You can ask us at any time to delete it, your files before these dates, or your whole account by writing to contact@microcitylabs.com.

5. Your Rights (UK GDPR)

Under the UK GDPR you have the right to access, correct, or delete your personal data, and to object to or restrict processing. To exercise any right, contact contact@microcitylabs.com. You may also complain to the UK Information Commissioner's Office (ico.org.uk).
